Reviewing and approving timesheets

Work through the week of records, approve what is right and send back what is not.

Every clocked shift lands on Timesheets → Records as one row. Reviewing them is a short weekly pass: check the hours, approve what's right, send back what isn't. Approval is the sign-off that tells you a period has actually been checked before you export hours or run payroll.

Only administrators and managers review timesheets. Managers see only the locations assigned to them, and can't approve their own hours — an admin or another manager does that.

    Pick the period and the people

    Select Timesheets in the sidebar. Use the Daily / Weekly / Monthly toggle and the arrows to move through time — select the date itself to jump back to today. Narrow things down with the All Employees dropdown, or with the All Locations switcher in the top bar. In Weekly and Monthly view the rows are grouped per person; select a name to expand their shifts.

    Clear flagged entries first

    Anything Atteny held back appears above the table in Pending Checkout Verifications. Deal with those before the rest — see The verification queue.

    Read the row

    A row shows the employee, location, date, clock in and out, break start and end, Expected against Actual hours, the +/− variance, and any Flags (late start, missed break, overtime, unscheduled, and so on). A shift still running shows Active instead of a clock-out and can't be approved yet.

    Approve, or reject with a reason

    In the row's Actions column, the green check opens Approve Timesheet, where you can add an optional note. The red cross opens Reject Timesheet, where a Rejection Reason is required. The employee is notified either way, and the reason stays on the entry — hover the info icon to read it later.

What each status means

  • Pending — clocked out and waiting for you.
  • Pending Verification — held back for a second look, and sitting in the card at the top of the page.
  • Approved — signed off. The hours, and the pay rate that applied at the time, are stored on the entry.
  • Rejected — kept on the record with its reason, but its hours stop counting toward pay and overtime.
The per-row check and cross appear for administrators. Managers approve from the Action Center card on the Dashboard, where every pending timesheet has an Approve button and an Edit link back to Timesheets.
If the times are simply wrong, fix them instead of rejecting — see Editing timesheets. Hours beyond the weekly contract are signed off separately in Overtime and extra hours.

Where you can see them, Total Cost and the Cost column are reference figures worked out from tracked hours — not official pay.
