An invitation is an email to one person. They sign up with the address you invited, and Atteny adds them to your company with the role, start date and work location you chose.

An admin can invite an employee, a manager or an admin. A manager can invite employees only, and only to a location they are assigned to. Only an admin can put a pay rate or the overtime switch on an invitation.
Starter includes 5 active people, the admin who created the company among them, and no managers. See Plans and limits.

Before you start#

  • A location. Every invitation must name a work location. With none, the dialog says: Create a location first: every employee needs a work location. See Add your first location.
  • A pay rate, with Payroll on. The invitation is refused while the chosen employment type has no pay rate. See Set roles and pay rates.
  • Your own language. The email is written in the language you are using in Atteny when you send it. That is also the language the new person's account starts in: their notifications come in it, and the phone app follows it once they have signed in, until they pick their own. There is no language choice per person.

Send an invitation#

  1. 1

    Open the invite dialog

Go to Employees and select Invite Employee.

  2. 2

    Enter who it is

Email is required. First Name and Last Name are optional: a name you type here is the name the person joins with.

As an admin you also choose the Role. On Starter the manager and admin choices are disabled with a Pro badge, and you read Managers are available on Pro.

  3. 3

    Enter the employment details

Start Date and Primary location are required. With Payroll on, so are Employment type and KV Pay Group, and an admin can also set Allow Overtime. The person is paid by the pay rate of their employment type: a Pay rate chosen in this dialog does not change that.

The Invite Employee dialog filled in: first and last name, email, role, start date, primary location, employment type, pay rate, pay group and the Allow Overtime switch, with the Send Invitation button
  4. 4

    Send it

Select Send Invitation. The person gets one email.

    Invite a person
    1. Open Invite Employee
    2. Enter the name and the email
    3. Set the start, location and employment
    4. The invitation waits under Invitations

When the team is full on Starter, the web dialog shows a notice and its send button is disabled. The limit is checked again when the person accepts.

What the person does#

The email names you and your company and shows the invited address. It has a button that opens the app's download page and a link to continue on the web.

The email carries no code and no personal link. The person signs up with the invited address and types a verification code that Atteny emails to that address. Atteny then matches them to the invitation and they join. See How joining works, and send your team Accept your invitation.

An invitation is valid for 14 days from the moment it was sent or last resent. Atteny sends one automatic reminder email when 3 days or less are left.

Follow your invitations#

The list opens for admins only.

As an admin, select Manage invitations on the Employees page, or go to Settings, Invitations. Three counters show Pending, Accepted and Cancelled. Expired invitations are counted under Cancelled.

The Invitations page with the Pending, Accepted and Cancelled counters and a list of invitations, each with its status and its buttons
  • Resend, on a pending or an expired row, sends the email again and starts a new 14 days.
  • Cancel, on a pending row, stops the invitation from being accepted. The row stays in the list.
  • The bin, on every row, removes the invitation from the list for good. Deleting a pending invitation also revokes it.

A red line under the address reports an email that could not be delivered. Check the address with the person, then resend. See Managing invitations and The invitation email never arrived.

As a manager, to send an invitation again, invite the same address again. That works for an employee invitation at a location you are assigned to: the existing invitation takes the new details, its 14 days start again and the email is sent again.

Someone who worked here before#

When the address belongs to a disabled former employee, an admin is asked whether this is the same person returning or a new person. For the same person, choose Same person, reconnect their record: their timesheets, payslips and leave history then stay with them. A manager cannot send that invitation. See When someone leaves.
